Rundle House is a purpose-built rental community in Canmore, Alberta, managed by PEKA Property Management ("PEKA", "we", "us", or "our"). We respect your privacy and are committed to handling your personal information responsibly and in accordance with Alberta's Personal Information Protection Act (PIPA) and, where applicable, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
This policy explains what personal information we collect through this website, why we collect it, how we use, disclose, store, and protect it, and the choices and rights you have. "Personal information" means information about an identifiable individual — for example your name, contact details, and any information you choose to include in your message.
We collect only the personal information we need for the purposes described in this policy. Depending on how you interact with the site, this may include:
If you contact us through the inquiry form, we collect the information you provide:
If you reach this website by clicking one of our advertisements, the advertising platform adds identifying information to the web address. From Google Ads this is a click identifier (a "gclid", or a "wbraid"/"gbraid" on some Apple devices). From ChatGPT Ads (operated by OpenAI) this is a click reference (an "oppref") together with campaign tags. Links we place elsewhere — for example in an email or a social-media profile — may carry the same kind of campaign tags (commonly called "UTM" tags), which name the source, the campaign and the specific advertisement, but not you.
If you then submit the inquiry form, we record those values together with the date and time of your inquiry, which form you used, and the suite you asked about. We use this only to measure which advertising produces genuine inquiries. For Google Ads we report the conversion back to Google; for other sources the information stays with the inquiry itself. We do not use these identifiers to track you across other websites or to build an advertising profile of you.
We also attach a visit reference: a random identifier created in your browser for the current visit, sent with your inquiry so that two messages sent during one visit are not counted as two separate enquirers. It is not linked to you, contains nothing about you, is not shared with any advertising platform, and is discarded when you close the tab.
These values reach our inquiry-form provider (Formspree) attached to the inquiry you sent, so the name, email address and phone number you typed are alongside them in that record. We do not send your name, email address or phone number to Google or to OpenAI.
A formal tenancy application — which is collected separately, outside this website, at a later stage — may include employment, income, and rental-reference information, along with credit and reference checks conducted with your separate, explicit consent. We do not collect that information, payment card numbers, banking details, or government identification through this website.
Like most websites, our hosting and service providers automatically record limited technical information when you visit, such as your IP address, browser type, the pages you view, and the date and time of access. This is used for security, troubleshooting, and reliability.
We use the Google Ads tag (gtag.js) on this site to measure whether our advertising
produces inquiries. The tag loads from Google on every page you view and sets its own cookies in your
browser (typically named _gcl_*) to remember that you arrived from one of our ads. When you
submit the inquiry form, the tag reports a single "conversion" event to Google Ads.
We use this only to measure our own advertising. We do not use it to build advertising profiles, to run remarketing or retargeting, or to show you ads elsewhere, and we do not send your name, email address or phone number to Google. Google acts as an independent party for this data and processes it under its own privacy terms. If you would rather not be measured this way, you can block cookies or use a tracking-blocker extension — our forms will still work normally.
We also advertise in ChatGPT. To measure whether those advertisements produce inquiries, we store
the advertising click reference described in Section 1 in a cookie set by
our own website (named rh_clickref, kept for 30 days), so that an inquiry sent on a
later visit can still be matched to the advertisement you clicked. When you submit the inquiry form,
our own server tells OpenAI that an inquiry happened and passes that click reference.
We do not run OpenAI's tracking script on this website. No OpenAI code loads in your browser, your browser never contacts OpenAI, and OpenAI sets no cookie on your device through this site. We chose to report from our server precisely so that we control exactly what is sent.
What we send is limited to the fact that an inquiry occurred, the time, and the click reference. It contains no name, email address or phone number, in readable or scrambled form, and nothing that identifies you personally. We do not use any of this to build advertising profiles, to run remarketing, or to show you advertisements elsewhere. OpenAI processes what we send under its own privacy policy. Blocking cookies stops this measurement, and our forms will still work normally.

When you voluntarily provide your contact details through the inquiry form or by emailing us so that we can respond, your consent to our collecting, using, and disclosing that information for that purpose is implied. We link to this policy from the form so you can review how we handle your information before you submit it.
You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us using the details in Section 13. Withdrawing consent may mean we are unable to respond to or follow up on your inquiry. We will explain the likely consequences before acting on your request.
This website uses advertising cookies set by the Google Ads tag, and an
rh_clickref cookie set by this website itself to remember a ChatGPT advertising click
(see Section 1), to measure whether our advertisements produce inquiries. We do not use
analytics software, and we do not use these cookies to build an advertising profile of you, to retarget
you, or to show you ads on other sites. We do not store the information you type into our forms on your
device. We do use your browser's temporary session
storage, which is cleared when you close the tab. If you arrive from one of our advertisements, the
click identifier and campaign tags described in Section 1 are held there,
along with the referring web address. On every visit, advertisement or not, we also store the visit
reference described in Section 1 and, once you have sent an inquiry, a marker recording that the
inquiry was already counted, so that a second message is not counted as a second enquirer. None of
this is removed when you submit; all of it goes when the tab closes.
You can block or delete cookies through your browser settings, or use a tracking-blocker extension. Doing so stops the advertising measurement described above and will not prevent you from using our forms or any other part of the site.
Some third-party content embedded in our pages — namely the embedded iGUIDE 3D virtual tour and the Google Fonts we use for styling — is loaded from those providers and may receive your IP address or set their own cookies under their respective privacy policies. You can control or block cookies through your browser settings; doing so will not prevent you from using our forms, though some embedded content may not display.

We keep personal information only as long as necessary to fulfill the purposes for which it was collected, and as required by law, after which it is securely destroyed or rendered non-identifying. We keep inquiry information only as long as needed to respond to and follow up on your inquiry. We no longer keep a separate store of advertising click identifiers. A click identifier or campaign tag exists only as part of the inquiry record it arrived with, and is deleted when that inquiry record is. Where we later use your personal information to make a decision that directly affects you — for example, assessing a formal tenancy application — we retain it for at least one year afterward, as required by Alberta's Personal Information Protection Act, so you have the opportunity to request access to it. Where a tenancy proceeds, your information is kept as part of the tenancy file for the period required by applicable tenancy and tax laws.
We take reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, and unauthorized access, use, or disclosure. These include encryption of all website traffic using HTTPS/TLS, access controls limiting who can view submissions, and selecting reputable service providers. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
